Deepsel Launches Maintenance Agreement Software for HVAC and Plumbing Contractors

Deepsel is a new software that tracks and bills maintenance agreements for HVAC, plumbing and electrical contractors running one to four trucks. It runs beside Jobber, Housecall Pro or a Google Calendar and keeps the one record those tools don’t carry: the agreement itself.

For each member, Deepsel holds the plan and tier, the covered equipment, visits owed against visits delivered, the card on file, the renewal date and the member discount. Renewals are charged to the card on file. A failed charge is retried and flagged, and the member and the office both get an email. Each spring and fall the software emails members to book a tune-up, and an owed visit that hasn’t been booked shows on the member’s page before it expires. Techs photograph the nameplate during a visit, so model, serial and filter sizes are on file for next season.

The software bills the card on file because of the gap between billing methods. Renewals asked for in person or by invoice convert at 40% to 50%. Card-on-file auto-billing converts at 80% to 95%, according to industry benchmarks compiled by Deepsel. On 300 agreements at an industry-average $225, that gap is about $20,000 a year. Deepsel has no dispatch board and no invoicing for repair work. Those stay in the shop’s existing software.
